Log your work on the portal

Helped with something? You can add it to your portal profile, with a link so people can see the work itself. A team lead checks it first. Once they approve it, it shows on your public profile for anyone to see.

This is optional. You are named in the monthly recap whether you log your work or not, because the leads keep track. Logging it gives you a lasting record you can point to, like a small portfolio.

About five minutes per piece of work.

NOTE

This is part of the new team setup on the portal, from 14 October 2026. Before then, the page says Not available yet.


What you can log

Anything you did for one of our five teams. For example:

  • You designed a flyer for a meetup
  • You hosted or helped run a session
  • You wrote a blog article
  • You took notes or photos at an event

You do not need to be on a team. Any member can log work for any team.


Code on GitHub is logged for you

Did you make a pull request to one of our projects on GitHub? You do not need to log it here. When it is merged (accepted), the portal adds it to your profile on its own.

This only works if your portal profile has the same GitHub account you used for the pull request. To add it:

  1. Open your profile settings.
  2. Scroll down to Social Links.
  3. In the box that says github.com/username, type your GitHub username. Not sure what it is? On GitHub, click your profile picture at the top right, then Your profile. It is shown under your name.
  4. Click Save Changes.

NOTE

Signing up to the portal with GitHub does not fill this in for you. Add it yourself.

Your merged pull requests then show in Contribution Activity on your portal dashboard and your public profile, marked PR merged. A new one can take up to 15 minutes to appear.

Everything below is for the rest: work that is not a pull request on GitHub.


Before you start

You need two things:

  1. Your portal account. No account yet? Do Join the community first.
  2. A link to the work. The work stays where you made it, for example in Google Drive, Canva, GitHub or Hashnode. You paste a link to it.

IMPORTANT

Anyone with the link must be able to open it. Your lead opens it to check your work, and once it is approved, visitors to your profile can open it too. If the link is private, nobody can see it.

To check your link works for other people: open a private window in your browser (in Chrome, press Ctrl + Shift + N, or ⌘ + Shift + N on a Mac), paste the link, and see if the work opens. If it asks you to log in or request access, change who can see it.

For a Google Doc, Sheet, Slides or Drive file: open it, click Share, and under General access choose Anyone with the link. Then click Copy link.


Step 1: Open your contributions

  1. Open your contributions. Log in first if the portal asks.
  2. You will see a page called Contributions. If you have not logged anything yet, it says Nothing submitted yet.

To find this page yourself later: it is in the menu on the left, under My Space. On a phone, tap the menu icon at the top of the page first.


Step 2: Fill in the form

Click Submit a contribution at the top right. A form opens. Fill in all five boxes:

TeamThe team the work was for. Click the box that says Which team was this for? and pick one. Not sure? Pick the team that asked you for it, or see the table in Ways to contribute.
TitleA short name for the work, like Designed the October meetup flyer.
What you didA few lines in your own words. Say what you made and where it was used.
Link to the workThe link you checked in Before you start. It must start with https://.
Date doneThe day you finished it. It starts on today's date. Change it if you finished earlier.

TIP

Be specific in What you did. "Made two versions of the flyer, the lead picked one, and it was posted on Instagram and in announcements" tells people much more than "Helped with design".


Step 3: Submit it

Click Submit for review.

You will see Submitted. Your team lead will review it. at the bottom of the screen, and your work appears on the page with the label Awaiting review.

It now waits in the review list of the team you picked, on the portal. That team's lead goes through the list, so you do not need to message them.


You are done when

Your work is on your Contributions page, marked Awaiting review.


What happens next

The team's lead opens your link, looks at the work, and marks it with one of two labels:

  • Approved: it now shows on your public profile at portal.community.codetopia.org/@yourusername, under Contributions, with a link to the work.
  • Declined: it stays off your public profile. It does not mean you did something wrong. Usually the link did not open, or the work belongs to a different team.

The lead may leave a short note under your work, with their name in front of it. Read it: it says why, or what to change.

You are not sent an email when this happens. Open your contributions now and then to see the label. Leads review when they can, so this may take a few days. If it has been waiting more than a week, message the team's lead. The leads are pinned at the top of channel get-involved on Discord.


Fix a mistake

You cannot edit work once you have submitted it. Instead:

  • Still marked Awaiting review? Click Withdraw next to it, then Withdraw again to confirm. It is removed. Then submit it again, correctly.
  • Declined? Fix what the note says, for example make the link open for everyone, and submit it again as new.

If something goes wrong

The form says "Paste a full link starting with https://". Copy the whole link from your browser's address bar, including the https:// at the start.

The form says "That date is in the future". Pick the day you finished, today or earlier.

There is no Submit a contribution button, or the page says "Not available yet". The new team setup is not switched on yet. Try again from 14 October 2026.
